Terms and Conditions

Clear conditions for enquiries, bookings and services arranged by ALVIA.

These Terms set clear expectations for enquiries, proposals, bookings and travel-related services arranged by ALVIA. Please read them together with your proposal and booking confirmation before making payment.

1. About these Terms

These Terms and Conditions apply to the website alviasignaturetourism.ae and to enquiries, proposals, payments, bookings and travel-related services handled by ALVIA Signature Travel & Tourism - FZCO ("ALVIA", "we", "us" or "our").

By accepting a proposal, making payment, receiving written booking confirmation, or using a confirmed service, you agree to these Terms and the specific written conditions supplied for that service. If a confirmed proposal, payment request, booking confirmation or disclosed supplier condition conflicts with these general Terms, the more specific condition will apply to that service, subject always to applicable law.

2. Enquiries, proposals and confirmation

ALVIA operates on an enquiry-led basis. Website examples, sample journeys, messages and indicative prices are provided to help you explore options; they are not guaranteed offers or confirmed bookings.

  • An enquiry does not reserve availability, lock a price or create a booking.
  • A proposal or quotation is subject to its stated validity period, availability and any written conditions.
  • Prices, timings, suppliers and inclusions may change before confirmation.
  • Payment alone does not confirm a booking. A service is confirmed only when ALVIA issues written booking confirmation.
  • You must review the confirmation promptly and report any error in names, dates, timings, locations, guest numbers or service details immediately.

ALVIA may correct a genuine pricing, availability, calculation or description error. If an error materially affects a pending or confirmed service, we will explain it and offer an appropriate correction, alternative, credit, refund or cancellation option, as required by the circumstances and applicable law.

3. ALVIA's role and independent providers

ALVIA designs, sources, arranges, communicates and coordinates travel-related services around the confirmed client brief. We use reasonable care when selecting and coordinating service providers and remain the client's main contact for arrangements confirmed through us.

Some underlying services are operated by independent licensed providers, such as hotels, chauffeur companies, restaurants, venues, guides, attraction operators, desert operators, yacht operators and other travel partners. Unless ALVIA expressly confirms otherwise, those providers control their own vehicles, staff, premises, equipment, safety procedures and day-to-day operations.

Provider rules and cancellation, access, age, safety or operating conditions may apply to the relevant service. ALVIA will communicate material conditions that are provided to us and reasonably relevant to your booking. Nothing in this section removes any responsibility that ALVIA must retain under applicable law.

4. Prices, inclusions and payment

Only items expressly listed as included in the final written proposal or confirmation form part of the booking. Anything not listed - including optional upgrades, personal expenses, additional waiting time, extra stops or services requested later - is excluded and may cost extra.

The proposal or payment request will state the price, currency, required deposit or full payment, deadline and available payment method. A deposit may be non-refundable or subject to supplier conditions where this is stated before payment.

  • Payments must be made by the stated deadline. Late payment may cause availability to be released, repriced or cancelled.
  • You confirm that you are authorised to use the selected payment method. Reasonable identity or payment verification may be required.
  • Bank, exchange or payment charges will be handled as stated before payment and as permitted by law.
  • ALVIA will provide an appropriate payment record, invoice or receipt for confirmed transactions.

5. Your information and responsibility for the group

You must provide complete, accurate and timely information needed for the enquiry, booking and service. If you arrange travel for other guests, you confirm that you are authorised to act for them, that they understand the relevant conditions, and that you will share confirmations, timings and safety information with them.

You and your guests are responsible for checking booking details, being ready at the confirmed time and place, monitoring the contact details provided to ALVIA, and following lawful provider, venue and safety instructions. ALVIA is not responsible for problems caused by inaccurate, incomplete or late information supplied by the client or a guest.

6. Passports, visas, insurance and suitability

You are responsible for valid passports, visas, entry or transit permissions, health requirements and any other documents required for your journey. General information from ALVIA is not immigration, legal or medical advice and should be checked with the relevant official authority.

Travel insurance appropriate to the journey, including medical, cancellation, delay and personal-property cover, is strongly recommended.

Before confirmation, tell us about any pregnancy, age, mobility, allergy, dietary, medical, accessibility or other circumstance that may affect safety, comfort or suitability. A provider may refuse or restrict participation where reasonably required by law, safety rules or operating conditions.

7. Changes requested by you

All amendment requests must be made in writing. Changes to dates, times, guests, routes, hotels, vehicles, venues, activities or other booking details are subject to availability, provider approval and revised costs. A change is confirmed only when ALVIA confirms it in writing and any required payment has been received.

Some services are non-changeable, non-transferable or non-refundable. If a requested change causes provider charges, price differences or additional work, those amounts will be explained and must be paid before the change is confirmed.

8. Cancellation, no-show and refunds

A cancellation must be submitted in writing and takes effect when acknowledged by ALVIA. The cancellation policy stated in the proposal, payment request, booking confirmation or disclosed supplier terms applies to the affected service.

If no specific cancellation policy was stated, ALVIA will assess the request using the service date, work already performed, provider conditions, non-recoverable costs and applicable law. Reducing guest numbers or removing part of a booking may change the overall price.

Failure to attend at the confirmed time and place may be treated as a no-show. Late arrival may shorten the service, cause missed elements or lead to additional waiting charges. Unless the confirmation states otherwise or applicable law requires a remedy, unused or missed services are not refundable.

An approved refund will normally be returned to the original payment method, less any disclosed and legally permitted non-refundable amount. Bank, card, gateway, supplier and currency-conversion processing times may affect when funds appear in your account.

9. Changes or cancellation by ALVIA or a provider

A service may need to change because of availability, weather, traffic, safety, venue or provider decisions, government instructions, technical problems or other operational circumstances. Minor changes that do not materially reduce the service may be made without compensation.

If a material confirmed element cannot be provided, ALVIA will, where reasonably possible, offer a suitable alternative, revised arrangement, credit or refund for the affected element, taking account of amounts recoverable from the provider and any rights required by law.

10. Safety, timing and events outside our control

Safety and operating decisions may be made by ALVIA, the relevant provider, venue, driver, guide, captain, pilot, instructor or public authority. Routes, timings, duration, access, vehicle allocation or activity order may change where reasonably required.

ALVIA is not responsible for failure or delay caused by circumstances outside our reasonable control, including severe weather, road or airport disruption, government action, public events, strikes, civil disturbance, epidemic, venue closure, supplier failure or a serious safety concern. We will provide reasonable assistance and available options, but recovery, credit or refund may depend on the provider's terms and applicable law.

11. Conduct, damage and personal belongings

Guests must behave lawfully, respectfully and safely. ALVIA or a provider may refuse or end a service where conduct is abusive, unlawful, dangerous, severely disruptive, intoxicated or damaging. A refund is not normally due where service is refused for such conduct.

You are responsible for reasonable direct damage, cleaning costs, fines or provider charges caused by you or a guest in your group. Guests remain responsible for passports, luggage, cash, devices, jewellery and other belongings. Lost-property assistance is subject to provider procedures and availability.

12. Special requests

We will make reasonable efforts to communicate requests concerning seating, rooms, dietary needs, celebrations, accessibility, privacy, vehicles or similar preferences. A special request is guaranteed only when it is expressly confirmed in writing. Additional charges or provider approval may apply.

13. Website content and intellectual property

Website descriptions, images, videos and example itineraries are for general guidance. They may be representative and may not show the exact vehicle, hotel, room, table, route, guide, venue, view or experience that is ultimately confirmed.

ALVIA's website content, proposals, itineraries, copy, designs, service names and documents are owned by ALVIA or used with permission. They may not be copied, resold, published, commercially exploited or adapted without written consent. A proposal prepared for you is confidential and intended for the named recipient.

You must not misuse the website, submit fraudulent or abusive requests, interfere with its operation, scrape content, attempt unauthorised access, or use ALVIA materials for unlawful or commercial purposes.

14. Communications and privacy

ALVIA may communicate and confirm arrangements electronically, including by email, WhatsApp, PDF, payment link or another agreed channel. You are responsible for providing correct contact details and monitoring those channels.

Personal information is handled under ALVIA's Privacy Policy. External communication and payment platforms also apply their own terms and privacy policies.

15. Complaints and assistance

Tell ALVIA about a problem as soon as possible during the service so we have a fair opportunity to assist or raise it with the provider. If the matter is not resolved, submit a written complaint with the booking reference, relevant details and supporting evidence as soon as reasonably possible, preferably within 14 days after the service.

We will acknowledge and review the complaint, may request further information, and will communicate the outcome or next steps. This process does not limit any consumer right or complaint route that cannot lawfully be restricted.

16. Liability

ALVIA will use reasonable care in arranging and coordinating confirmed services. Independent providers remain responsible for operating their own services, and ALVIA is not responsible for matters outside its reasonable control.

To the fullest extent permitted by law, ALVIA is not liable for indirect or consequential loss, loss of enjoyment, missed opportunity, loss of profit, or additional costs that were not reasonably foreseeable when the booking was made.

To the fullest extent permitted by law, ALVIA's total liability relating to an affected service will not exceed the amount paid to ALVIA for that service. Nothing in these Terms excludes or limits liability for fraud, wilful misconduct, death or personal injury caused by ALVIA's negligence, or any responsibility or consumer right that cannot lawfully be excluded or limited.

17. General terms

If part of these Terms is found invalid or unenforceable, the remaining parts will continue. A delay in enforcing a right is not a waiver. You may not resell or transfer a booking without ALVIA's written approval and any required provider approval.

ALVIA may update these Terms. The version published on the website applies from its effective date to new website use, enquiries and arrangements. A confirmed booking remains subject to the version and specific conditions accepted for that booking, unless the parties agree otherwise or law requires a change.

18. Governing law and contact

These Terms are governed by the laws of the United Arab Emirates. The courts of Dubai, United Arab Emirates will have jurisdiction, subject to any mandatory consumer or dispute-resolution rights that apply.
