How ALVIA collects, uses and protects personal information.

ALVIA respects the trust placed in us. This policy explains, in plain language, what personal information we collect, why we use it, who we may share it with, and the choices available to you.

1. Who we are

ALVIA Signature Travel & Tourism - FZCO ("ALVIA", "we", "us" or "our") is a Dubai-based travel business. For the personal information described in this policy, ALVIA normally acts as the organisation deciding why and how that information is processed.

2. When this policy applies

This policy applies when you visit alviasignaturetourism.ae, submit an enquiry, contact us by email, WhatsApp, phone or social media, request or accept a proposal, make a payment, receive a service arranged by ALVIA, or otherwise communicate with us.

External websites, payment gateways, messaging platforms and independent travel providers have their own privacy practices. Their policies will also apply when you use their services.

3. Information we may collect

We collect only information that is reasonably relevant to an enquiry, booking, service, payment, legal requirement or client relationship. Depending on the stage of your journey with ALVIA, this may include:

  • Contact details, such as your name, email address, telephone number, WhatsApp number, country of residence and preferred communication method.
  • Travel and service details, such as dates, guest numbers, flight or hotel information, pickup points, budget range, preferred pace, service category and special requests.
  • Guest and booking details, which may include nationality, date of birth, passport or identification information, where genuinely required by a hotel, venue, operator, authority or confirmed service.
  • Relevant comfort, dietary, allergy, mobility, accessibility, pregnancy, age or health information that you choose to provide and that is needed to assess suitability or arrange a service safely.
  • Payment and business records, including invoices, receipts, payment status, transaction references, refund records and billing communications.
  • Communications and records of enquiries, proposals, confirmations, amendments, complaints and support requests.
  • Website and device information, such as IP address, browser or device type, pages visited, referral source and cookie or consent choices, where collected by our website systems.
  • Marketing preferences, consent records and opt-out requests.

At the initial enquiry stage, we do not normally require passport copies, full card details or detailed medical information. Please provide sensitive information only when requested and necessary for the proposed service.

4. How we collect information

We normally receive information directly from you or from the person arranging travel for your group. We may also receive relevant information from payment providers, hotels, transport companies, venues, experience operators, booking partners, technology providers or other parties involved in your requested service.

5. Why we use personal information

We may use personal information to:

  • Respond to enquiries and prepare suitable proposals, quotations and service directions.
  • Check availability, assess suitability, arrange and confirm travel-related services.
  • Coordinate with hotels, chauffeurs, venues, guides, operators and other providers involved in your journey.
  • Process payments, issue invoices or receipts, manage cancellations and refunds, and maintain financial records.
  • Communicate before, during and after a service, including operational updates and client support.
  • Handle complaints, investigate incidents, prevent fraud, protect safety and defend legal rights.
  • Operate, secure and improve our website, communications and service processes.
  • Meet accounting, tax, licensing, regulatory, court or other legal obligations.
  • Send optional marketing communications only where you have chosen to receive them or where otherwise permitted by law.

Depending on the purpose, we process information because it is necessary to respond to your request, take steps before a contract, perform a confirmed service, comply with law, protect legal rights or safety, or because you have given consent. Where we rely on consent, you may withdraw it at any time.

6. Information about other travellers and children

If you provide information about another traveller, you confirm that you are authorised to do so and have told them how their information will be used. Information about children must be provided by, or with the authority of, a parent, guardian or responsible adult and will be used only as reasonably necessary for the family or group arrangement.

7. Who we may share information with

We share only information reasonably needed for the relevant purpose. Recipients may include:

  • Hotels, venues, restaurants, chauffeurs, transport companies, guides, tour and activity operators, yacht or desert operators, event partners and other providers involved in the requested service.
  • Banks, payment gateways and payment processors.
  • Website hosting, email, CRM, communication, analytics, cybersecurity and other technology providers supporting our business.
  • Professional advisers, accountants, auditors, insurers and legal advisers.
  • Government bodies, regulators, courts, law enforcement or other authorities where disclosure is required or legally justified.

ALVIA does not sell or rent personal information. We expect service providers acting on our behalf to use information only for the agreed purpose and to apply appropriate protection.

8. International transfers

Travel providers and technology systems may be located outside the United Arab Emirates. Where personal information is transferred internationally, ALVIA will use reasonable contractual, organisational or other lawful safeguards appropriate to the transfer and the service being arranged.

9. Payments and external communication channels

Card and payment credentials are normally processed by banks or secure payment providers. ALVIA does not intentionally store complete card numbers or security codes in its ordinary client records.

WhatsApp, email, social media, payment links and similar external platforms process information under their own terms and privacy policies. Avoid sending unnecessary passport, payment or sensitive information through an unsecured channel.

10. Cookies and website analytics

Our website may use essential cookies or similar storage needed for security, functionality and saving your choices. Optional analytics or marketing technologies will be used only where implemented and where the required consent has been obtained. You can review or change your choices through Cookie Settings. 11. Marketing choices

We may send travel inspiration, service updates or promotional messages only where you have opted in or where otherwise permitted by law. You may unsubscribe or contact us at any time. Opting out of marketing will not stop necessary messages about an enquiry, payment, booking or active service.

12. How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose collected and for applicable legal, accounting, tax, licensing, fraud-prevention or dispute requirements. Our normal approach is:

  • Enquiries that do not become bookings: usually up to 24 months after the last meaningful contact.
  • Booking, payment, invoice, complaint and core service records: usually up to five years after completion, or longer where required by law or an active claim.
  • Passport copies and sensitive travel information: only for as long as needed for the relevant arrangement, followed by secure deletion or restricted retention where a legal reason remains.
  • Marketing records: until you unsubscribe, together with a limited suppression record so we can respect your choice.
  • Cookie and analytics data: for the periods stated in the Cookies Notice or the applicable tool.

13. Security

We use reasonable administrative, technical and organisational safeguards designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Access is limited to people and providers who need the information for an authorised purpose.

No internet, email, messaging, payment or storage system is completely risk-free. We therefore cannot promise absolute security, but we will investigate suspected incidents and take appropriate action.

14. Your privacy rights

Subject to applicable law and relevant exceptions, you may ask ALVIA to:

  • Provide information about, or a copy of, personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete information that is no longer required or restrict its use in appropriate circumstances.
  • Provide eligible information in a portable format.
  • Stop direct marketing or withdraw consent.
  • Review a significant decision made solely through automated processing, if applicable.

We may need to verify your identity before acting on a request. Some records may need to be retained to meet legal obligations, complete a contract, protect another person, or establish or defend a legal claim. You may also complain to the UAE Data Office where that right applies.

15. Data incidents

If a personal-data incident occurs, ALVIA will assess it, take reasonable containment and corrective steps, and notify the relevant authority or affected individuals where required by applicable law.

16. Third-party links

Our website, proposals or messages may link to external websites, maps, payment pages or provider platforms. ALVIA is not responsible for their content, security or privacy practices. Please review their policies before submitting information.

17. Updates to this policy

We may update this policy when our services, systems or legal obligations change. The updated version will be published on our website with a revised effective date.
